Advancement Database Specialist 

Who You Are

Reporting to the Director of Advancement Services, the Advancement Database Specialist contributes significantly to the overall comprehensiveness and integrity of the Advancement Office database and deliverables.  This position is responsible for entering, recording, and acknowledging gifts made to the school and also updating and maintaining the biographical and demographic data in constituent records.  The role of the Advancement Database Specialist is critical to maintaining quality control of the Advancement Office’s information System (Raiser’s Edge). 

What You Will Do

  • Processes, records, and acknowledges all gifts, pledges, and pledge payments made to the school.
  • Performs data entry to ensure that accurate, updated, and relevant information on all EA constituencies is maintained.
  • Produces mailing lists, merges, and labels, and executes queries, exports, and reports from Raiser’s Edge to support OIA work.
  • Assists with event-related data needs such as RSVP entry, name tag production, and event attendance lists for follow-up.
  • Investigates, collects, and manages all biographical information for all EA constituencies.
  • In collaboration with Advancement colleagues, researches and compiles bio briefings as needed.
  • Assists with Head of School correspondence drafting, tracking, and fulfillment.
  • Acts as liaison with donors, Business Office staff, and others at the school to answer gift-related questions and/or to resolve gift-related problems.
  • Serves as a primary resource concerning gift policy and gift data entry procedures.
  • Participates in advancement and school events as needed.
  • Other duties as assigned.

About You

The ideal candidate for the Advancement Database Specialist at The Episcopal Academy will possess the following:

  • Proficiency with Raiser's Edge or similar databases, including knowledge of how to run and manipulate queries and exports for use with label, nametag, and list generation. 
  • Strong verbal and written communication skills.  The highly public nature of the duties of this position requires good communication skills that will be frequently tested. Writing/proofreading skills will need to be employed.
  • Strong interpersonal skills, both written and oral. 
  • Curiosity and analytical thinking; complex problem-solving ability; ability to organize, prioritize, and complete multiple projects simultaneously with close attention to detail and accuracy; meet deadlines and work in a fast-paced environment.
  • Self-starter, able to work independently and take initiative. Ability to react and adapt to changing situations appropriately. Results-oriented. 
  • Ability to work collaboratively with colleagues in the Advancement Office and across the school in a team environment; openness to new ideas and their implementation.
  • Conducts oneself professionally in all aspects of language, attitude, appearance, and deportment.
  • Proficiency with Microsoft Office, Google Suite, and Adobe software as well as web-based and social media applications.
  • Ability to work evenings and weekends as needed.
  • Minimum of 3 years related work experience.
  • Bachelor’s degree required.
