Advancement Administrative Assistant

Westtown School seeks an experienced Administrative Assistant to join the Office of Advancement. The Administrative Assistant works with the advancement team and the Dean of Advancement to support a variety of Advancement Office projects and functions including, but not limited to: communication with various advancement constituencies, planning and support of meetings and events, database entry, electronic file organization and maintenance, expense report processing, management of supplies and organization of the Advancement office space, and assisting with the compilation of a variety of mailings, reports, presentations and proposals. This is a year-round, part-time 30-hour per week position, with some additional hours required for specific events. Benefits include health and dental coverage.  Paid Time Off (PTO) accrues after one year of service. General office hours are 8:00-2:30 with one day per week of remote work permitted.

Essential Duties and Responsibilities

  • Assist advancement team members with short and long-term projects;
  • Create and maintain the advancement calendar for events and communication;
  • Support and attend advancement events, which will require working occasional nights and weekends, as needed;
  • Assist in the support and utilization of the Advancement Office, including ordering/organizing supplies, greeting guests, room preparation, accepting deliveries, etc.;
  • Analyze office workflow and offer ideas to improve creativity, innovation, and efficiency;
  • Other related duties as assigned.

Qualifications

  • BA or BS preferred;
  • Relevant administrative office experience, preferably in a non-profit or independent school environment, volunteer experience welcome;
  • Excellent writing, editing, and presentation skills;
  • Close attention to detail;  
  • Demonstrated time management skills with the ability to meet deadlines and prioritize workload;
  • The ability to connect meaningfully with all constituents throughout our diverse community;
  • Demonstrated ability to think creatively;  
  • Proven analytical and problem-solving abilities;
  • Desire to work in a collaborative setting; 
  • Enthusiasm for the mission of Westtown School and the school’s Quaker values;
  • Proficiency with the Microsoft Office Suite and proven ability and willingness to learn other technology related to this position.
