Position Summary

The Registrar and Data Manager oversees the maintenance and integrity of student academic records for both current and former students. Working in close partnership with the Director of Studies, this position plays a key role in building academic schedules, supporting the day-to-day operations of the Academic Office, and managing data workflows that intersect with other departments across campus. The Registrar and Data Manager must bring strong technical skills, an eye for detail, and a collaborative spirit to this multifaceted role.

Responsibilities

Institutional Data Responsibilities

This position is responsible for maintaining both personal and academic records for all students, in both digital and paper formats. This includes collecting, analyzing, and managing information such as transfer transcripts, demographic details, and family data. Using The Hill School's student information system, the Registrar and Data Manager ensures the accuracy and consistency of academic data, including grades, comments, and course information. The Registrar and Data Manager also plays a key role in designing and assembling dashboard metrics used in schoolwide reporting, including those prepared for the Board of Trustees.

Academic Office Operations

The Registrar and Data Manager works closely with the Director of Studies and other colleagues to support the smooth functioning of the Academic Office. This includes helping to prepare the academic schedule and proactively identifying and resolving operational issues throughout the school year. In collaboration with the College Counseling and Business Offices, this position manages transcript audits and data cross-checks to ensure the accuracy of verifications and certifications. The successful candidate is also responsible for configuring and maintaining academic settings within the school's systems-such as class creation, student enrollment and tracking, and academic progress monitoring. In support of internal planning, analysis, and recognition efforts, the Registrar and Data Manager generates detailed data reports, academic award listings, and institutional research documents for use across departments.

Academic Documents Processing

The Registrar and Data Manager serves as the primary liaison for academic transcript fulfillment, working with the College Counseling Office to meet the needs of current students, alumni, and outside institutions. This role also coordinates with the NCAA to submit course materials and oversee the progress of eligibility certifications. Additional responsibilities include ordering, printing, organizing and replacing of diplomas; processing student record verifications; and assisting with commencement preparations. In collaboration with the ITS department, this position also supports the onboarding of new student and faculty data and helps coordinate campus-wide data import/export projects involving multiple departments. This position may also include other duties as assigned to support the broader needs of the institution.

Qualifications

  • Regular hours are Monday through Friday, 7:55 a.m. to 4:30 p.m.
  • Occasional weekend and holiday work required, depending on the school calendar (e.g., Memorial Day, Labor Day).
  • Close collaboration expected with the Academic Dean, Director of Studies, Academic Office Coordinator, and colleagues in ITS, College Counseling, Admission, Advancement, and the Business Office.
  • Bachelor's degree required.
  • Strong written and verbal communication skills.
  • Excellent organizational and problem-solving abilities.
  • Technological proficiency required; preferred experience with MySQL, Excel, Word, Outlook, SharePoint, OneDrive, PowerPoint, and relational databases.
  • Adaptability and a willingness to pitch in where needed in a dynamic school environment.
  • Attention to detail and discretion in handling sensitive information.
