La Salle College High School is seeking a professional, organized, and welcoming Administrative Assistant/Receptionist to support our school community. This position serves as the first point of contact for students, families, and visitors while also providing essential administrative and clerical support to staff and leadership. The ideal candidate will be friendly, detail-oriented, and able to thrive in a busy office environment.
Key Responsibilities
- Contribute to a positive school culture by maintaining a professional, pleasant demeanor and fostering positive relationships with colleagues, students, and families.
- Greet and assist students, families, visitors, and staff, ensuring a positive and professional experience. Screen and verify the credentials of visitors and contractors.
- Operate the school’s multi-line phone system; direct calls, take messages, and provide accurate information.
- Operate office equipment (copiers, postage machine, fax, etc.); arrange for service and maintain service logs.
- Monitor and order office supplies; ensure smooth operation of office equipment.
- Manage subscriptions, billing invoices, and vendor accounts.
- Prepare documents, correspondence, spreadsheets, and presentations.
- Coordinate and schedule meetings, events, and room reservations.
- Sort and distribute incoming mail; prepare and process outgoing mail.
- Maintain electronic and paper filing systems, calendars, and contact lists.
- Provide additional administrative support to staff and leadership as needed.
Qualifications
- High school diploma or GED required.
- Minimum of 1–5 years of relevant administrative or reception experience desired.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and internet applications.
- Strong organizational skills with the ability to multitask and prioritize.
- Excellent interpersonal and communication skills; able to interact effectively with students, parents, faculty, and staff.
- Ability to use and troubleshoot standard office equipment.
- Capacity to exercise sound judgment and respond appropriately to urgent needs.
- Professional demeanor, discretion, and reliability in a school setting.
Physical Requirements & Work Environment
- Full-time position in a busy, supportive office environment.
- Requires extended periods at a desk/computer and occasional lifting up to 30 lbs.
- Regularly required to sit, talk, listen, and greet visitors.
- Frequent use of close and distance vision.
- Must be able to bend, reach, and occasionally use a ladder or step stool.
- Work performed in a traditional climate-controlled office environment.
- Ability to remain effective in a busy, high-traffic, and sometimes distracting environment.
- Maintain discretion and confidentiality
