The Academy of Notre Dame de Namur, an independent Catholic school for girls located in Villanova, Pennsylvania, is seeking a highly organized and detail-oriented Advancement Database Manager to support the daily operations of the Office of Institutional Advancement. This individual will play a vital behind-the-scenes role in ensuring accurate records, smooth workflow execution, and exceptional donor stewardship. The position is 12 months, full-time, and on-site.
Key Elements:
Maintain and update constituent records within the CRM database (Veracross or comparable platform).
Record biographical updates such as address changes, alumnae milestones, and other key donor information.
Accurately process and acknowledge all gifts, pledges, and payments in accordance with established timelines and maintain electronic filing of all correspondence.
Manage the corporate matching gift program, serving as the liaison between donors and corporations while maintaining accurate matching records.
Produce pledge reminders for capital and annual giving campaigns.
Collaborate with the Business Office on monthly and year-end reconciliation to ensure alignment between gift and financial records.
Assist with the annual audit by preparing and gathering required documentation and reports.
Oversee the preparation of Report of Gifts listings and support related publications.
Create database queries and generate reports on a regular basis.
Generate mailing lists, reports, and data exports to support fundraising, events, and stewardship activities.
Support Advancement events, including preparation of name tags and attendance lists.
Maintain the overall quality and integrity of the development database
Support operational initiatives to improve Advancement systems, workflows, and data processes.
Other duties as assigned.
Qualifications:
Bachelor’s degree or equivalent professional experience.
Experience in data entry, database administration, advancement services, or nonprofit operations.
Proficiency with Veracross (or similar CRM), Microsoft Excel, Word, and Google Workspace.
Exceptional attention to detail and commitment to data accuracy.
Strong organizational and time management skills.
Ability to manage routine work with consistency and care.
Professional communication skills and the ability to collaborate across departments.
Willingness to assist with occasional evening or weekend school events
