Position Overview

The Meadowbrook School is seeking a highly organized, dependable, and collaborative Business Office Coordinator to manage the school’s daily financial and business office operations. This is a full-time, on-site role that works closely with the Head of School and plays a central part in maintaining accurate financial systems, supporting school operations, and ensuring responsible stewardship of school resources.

The ideal candidate is detail-oriented, trustworthy, proactive, and comfortable managing end-to-end financial workflows in a small, mission-driven school environment.

Key Responsibilities

Financial & Business Operations

  • Manage accounts payable and receivable using Sage Desktop

  • Maintain and reconcile the general ledger

  • Reconcile bank and credit card statements

  • Support payroll processing and related reporting

  • Track, code, and verify all income and expenditures

  • Maintain organized and accurate financial records

Tuition & Family Billing

  • Oversee tuition billing, payment posting, and account monitoring

  • Maintain family financial records with professionalism and discretion

  • Communicate with families regarding accounts in a respectful, confidential manner

  • Support payment plans in coordination with school leadership

Reporting, Budgeting & Compliance

  • Prepare regular financial reports and summaries for the Head of School

  • Support annual budgeting, audit preparation, and year-end close

  • Assist with EITC/OSTC and other school-related financial programs

  • Ensure compliance with school policies and internal controls

Collaboration & Confidentiality

  • Serve as a trusted partner to the administrative team

  • Communicate proactively about financial matters and timelines

  • Maintain strict confidentiality regarding school and family information

Qualifications & Experience

  • Prior experience in bookkeeping, accounting, or business office operations

  • Experience using Sage Desktop strongly preferred (training available)

  • Strong attention to detail, organization, and accuracy

  • Ability to work independently while collaborating closely with leadership

  • High degree of integrity, discretion, and professionalism

  • Strong communication and interpersonal skills

  • School or nonprofit experience preferred, but not required
