Position Title:  Controller                              

Department: Finance Department                

Reports to: Chief Financial and Operating Officer

Position Status: Exempt/ Full-Time

Expected Hours of Work: Monday-Friday (8am-4pm), plus evenings and weekends as needed

 

Position Summary:

The Controller will oversee and be responsible for the day-to-day activities of the finance department. This includes tuition billing, invoice/expense processing, the monthly closing process and financial reporting for the Academy. The Controller will play an integral role working with the existing staff to develop new skills, broaden their knowledge, and improve the organization's financial processes.

The ideal candidate for this role should possess a strong work ethic and be a quick learner, be a hands-on professional with excellent teaching skills, have very good communication skills, strong organizational skills, excellent interpersonal skills, and be detail-oriented with the ability to multi-task and build teams.

 

Responsibilities:

  • Oversee the monthly closing process, including preparation of financial reports for internal management, Board/Board Committees, budget managers, endowment sponsors and third-party compliance;
  • Administer the annual budgeting process and periodic reporting to support the budget process;
  • Oversee staff responsible for the timely processing of accounts payable, tuition billing and accounts receivable transactions. Detailed processes include preparing invoices, recording cash receipts, processing tuition payments, reconciling accounts, entering financial data into accounting software systems, categorizing company expenses to facilitate budgeting and overall expense management;
  • Implement and maintain proper controls to safeguard assets and ensure expense transactions are properly authorized;
  • Perform fundamental analysis of financial information and assist in identifying trends or discrepancies that require attention;
  • Provide support for our annual audit processes by organizing audit preparation efforts, responding to auditor inquiries, and contributing to documentation requirements;
  • Assist with administrative duties such as maintaining accounting files, both in hard copy and digitally, as needed by the accounting team;
  • Ensure GAAP adherence to relevant accounting regulations, guidelines, and organizational policies to maintain the integrity and legality of financial operations;
  • Monthly, reconcile and transfer the activity from the Blackbaud sub-systems (Raiser’s Edge, Tuition Management, Fixed Assets) to the general ledger.

 

Qualifications:

  • Bachelor’s degree in accounting, business or finance. CPA preferred.
  • Familiarity with accounting principles, cost accounting and fund accounting concepts, and practices;
  • Commitment to the mission of Catholic education and enthusiasm for girls’ education;
  • Proficient in Microsoft Excel, Power Point and Word.  Some experience with accounting software, preferably Blackbaud Financial Edge NXT or an ERP system, would be a plus. The ability to adapt to new technological tools for financial management;
  • Detail-oriented with a strong emphasis on accuracy and attention to detail when handling financial data and documents;
  • Excellent interpersonal and communication skills, both oral and written;
  • Detail-oriented, flexible, and organized worker with initiative and ability to work independently and adjust priorities to meet changing deadlines;
  • Ability to maintain strict confidentiality.

 

Physical Demands:

  • Ability to sit and stand for extended periods of time;
  • Ability to lift up to 50 pounds.

 

Education and Experience:

  • Bachelor’s degree in accounting, business or finance from an accredited educational institution;
  • 5 year’s working experience in the finance office for an educational institution, preferred;
  • Proficient in Office and Google applications;
  • Proficient in the use of office technology;
  • Experience with non-profit accounting software, preferably Blackbaud Financial Edge NXT or an ERP system, preferred.
