Enrollment Administrative Assistant 

 

Westtown School seeks an experienced Administrative Assistant to join the Enrollment Team. The Enrollment Administrative Assistant is responsible for maintaining efficient systems and fostering a warm, welcoming environment in the Admissions Office in support of the school’s strategic enrollment goals. From mid-May to mid-September, this position is the sole clerical support person for the Enrollment Team. This is a full-time, 12-month position.

 

Westtown School is an independent, Quaker pre-K to 12, college-preparatory day and boarding school located in suburban West Chester, PA, approximately 30 miles from Philadelphia. Essential Responsibilities

 

  • Deliver exceptional, timely, and responsive customer service to prospective families, community members, and admission partners via email, phone, and in person.
  • Manage inquiries and application processing; support applicants’ progression through the admission process by maintaining accurate data and generating reports from multiple admission databases.
  • Plan and coordinate logistics for Westtown admission events and meetings, including occasional evening and weekend responsibilities.
  • Oversee the daily operations of the admission office, including management of the team calendar, inventory of supplies and materials, organization of the office space, and monitoring of the departmental budget.
  • Provide comprehensive administrative and clerical support to the enrollment team to ensure efficient office operations.
  • Serve as a backup to the Enrollment Data Manager, ensuring continuity in data management and reporting functions.

 

Qualifications 

 

  • Some college, preference will be given to candidates with a bachelor's degree
  • 1–3 years of relevant professional experience, preference will be given to candidates with experience in an independent school or college admissions office. 
  • Must be collaborative, detail-oriented, and bring a proven ability to consistently deliver accurate, high-quality work through strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively. 
  • Communicate with warmth, clarity, and professionalism—both verbally and in writing—with a wide range of constituents. 
  • Navigate database systems and Google Workspace tools with proficiency and confidence. 
  • Maintain a positive attitude, a sense of humor, and flexibility while thriving in a dynamic, fast-paced office environment. 
  • Actively support and contribute to a diverse and inclusive school community through cultural competence, a commitment to social justice, and respect for all voices.
